n8n vs Zapier: Workflow Automation Comparison 2026

Workflow automation platforms connect your tools and eliminate manual data entry. n8n and Zapier are the two most popular options in 2026 — but they serve different audiences. This comparison helps you choose the right one.

Part of our AI Integration for Business Guide.

N8n Vs Zapier Comparison

Quick Verdict

Choose n8n If:

You want to keep your data in-house, need to automate complex processes with custom coding, want to pay per workflow run rather than per step, or have a technical team that can handle advanced setup and maintenance.

Choose Zapier If:

You need the largest app library (8,000+ apps), want zero-setup cloud hosting, have non-technical users building automations, and your workflows are simple (5-10 steps).

Feature Comparison

Feature n8n Zapier
Hosting Self-hosted or Cloud Cloud only
Pricing Model Free Community Edition (self-hosted) / cloud from €20/mo billed annually, per execution Free plan, then from $19.99/mo billed annually, per task
Integrations 400+ built-in and custom automation nodes 8,000+ native apps
Code Support JavaScript/Python nodes, full flexibility Limited code steps, mostly no-code
AI Integration Native AI nodes (Claude, GPT, Ollama) AI actions via integrations
Workflow Complexity Branches, loops, sub-workflows, error handling Linear + Paths (branching), limited loops
Data Privacy Full control (self-hosted) Data passes through Zapier servers
Learning Curve Medium (technical users) Low (non-technical users)

Pricing Deep-Dive

Pricing is where n8n and Zapier diverge most dramatically at scale:

n8n Pricing

  • Community Edition (self-hosted): Free under n8n's fair-code license, unlimited workflows and executions. You pay for the server and for the time to keep it updated.
  • Starter (cloud): €20/month billed annually — 2,500 executions
  • Pro (cloud): €50/month billed annually — 10,000 executions
  • Business (self-hosted): €667/month billed annually — 40,000 executions
  • Enterprise: Custom pricing

One execution is one full run of a workflow, however many steps it has — a long workflow costs the same as a short one.

Zapier Pricing

  • Free: $0 — 100 tasks/month, two-step Zaps
  • Professional: from $19.99/month billed annually — 750 tasks
  • Team: from $69/month billed annually — 2,000 tasks
  • Enterprise: Custom pricing

A task is one successful action step. A workflow with four action steps that runs 100 times a day uses 12,000 tasks a month.

Same workload, two meters: that four-step workflow running 100 times a day is 3,000 executions a month on n8n — inside the Pro plan — and 12,000 tasks on Zapier, six times the Team plan's starting 2,000. Run both vendors' calculators with your real step counts: the gap grows with every step you add. Prices checked on the vendors' pricing pages in September 2026.

AI Workflow Capabilities

Both platforms support AI, but n8n has a significant edge for AI-powered workflows:

n8n AI Features

  • Native AI Agent node with tool calling
  • Direct Claude API, OpenAI, and Ollama integration
  • Vector store nodes for RAG
  • Custom code nodes for complex AI logic
  • Full control over prompts, temperature, model selection

Zapier AI Features

  • Built-in AI actions for text/data processing
  • ChatGPT integration via app connector
  • Natural language workflow creation
  • Limited model choice
  • Less control over AI parameters

For AI-heavy automation projects, the self-hosting option and native AI nodes usually tip the choice toward n8n; for a handful of simple app-to-app connections, Zapier is faster to start.

Hosting, Data and Compliance

For many teams this decides the question before price does: where do customer records, invoices and chat logs go while a workflow runs?

n8n

Can run on your own server or private cloud, so data never leaves infrastructure you control. That matters for personal data under GDPR and similar laws, for healthcare and finance, and for companies whose clients ask where their data is processed. The price of that control: you own updates, backups, monitoring and security of the server.

Zapier

Cloud only: every record your workflow touches passes through the vendor's servers. For most marketing and sales data that is acceptable, and there is no server to maintain. Before connecting sensitive systems, check the vendor's current security documentation — certifications, data retention and where data is stored — against your own requirements.

Integrations: 8,000 Apps vs Any API

Zapier's library is roughly twenty times larger, and for common business apps it means a connection in a few clicks. n8n closes most of the gap differently: its HTTP Request node talks to any service with an API, webhooks accept data from anything that can send one, and community nodes add hundreds more connectors.

In practice: if your stack is mainstream cloud apps, both platforms connect to it. If you rely on an internal system, an industry-specific tool or a local accounting program, n8n usually connects without waiting for a vendor to build an official integration — but someone has to read the API documentation.

Who Builds and Who Maintains

Question n8n Zapier
Who can build a first workflow Anyone comfortable with data and logic; code nodes need JavaScript or Python Any business user, in minutes
Debugging Data visible at every step of every run; re-run from the failed step Run history with inputs and outputs per step
Maintenance Self-hosted: updates, backups and monitoring are yours; cloud: handled by the vendor Handled by the vendor
Support Active community forum and templates; dedicated support on higher plans Help center and email support; faster support on higher plans

Moving from Zapier to n8n

There is no automatic converter, so treat migration as a small project rather than a weekend task.

  1. Inventory. List every Zap with its trigger, steps, monthly task count and owner. Switch off the ones nobody can explain.
  2. Start with the expensive ones. Long, frequently running workflows save the most on per-execution pricing; move them first.
  3. Rebuild, do not copy. Multi-step Zaps often collapse into one n8n workflow with branches. Plan one to two hours per simple workflow and more for anything with filters and paths.
  4. Run in parallel. Let both versions run for a week, writing to a test destination on the n8n side, and compare the outputs.
  5. Switch and watch. Turn off the Zap, turn on the workflow, and keep an error alert to your team chat for the first month.

Five Questions to Decide

  • Must customer data stay on servers you control? — if yes, n8n self-hosted.
  • Do your workflows have more than three or four action steps and run hundreds of times a day? — per-execution pricing will usually cost less.
  • Will non-technical staff build and change workflows themselves? — Zapier's editor is easier to hand over.
  • Do you need a system without an official integration? — n8n's API and webhook nodes connect it directly.
  • Is anyone responsible for maintaining a server? — if not, choose a cloud plan on either platform or have the setup maintained for you.

Honest answers about how we work, what it costs, and what you can expect

Self-hosted requires basic Docker knowledge, 15-30 minute setup. n8n Cloud offers the same features without server management.
Yes, but workflows need manual rebuild. No automatic migration tool. Plan 1-2 hours per workflow.
Make sits between n8n and Zapier. Good for cloud-hosted with complex branching, but no self-hosting and per-operation pricing.
The self-hosted Community Edition is free under n8n's fair-code license, with unlimited workflows and executions — you pay for the server and its maintenance. Cloud plans start at €20 per month billed annually for 2,500 executions.
n8n counts executions: one full run of a workflow, however many steps it has. Zapier counts tasks: every successful action step is one task. The more steps a workflow has, the bigger the difference between the two meters.
